Understanding the warehouse processing workflow helps you set realistic expectations and identify when delays occur. This guide breaks down every stage from order placement to international shipping departure, explaining what happens at each step and typical timeframes.
Stage 1: Order Placed (Instant)
When you complete checkout, the order is immediately transmitted to the seller through hipobuy's platform. The seller receives notification including your item selection, size, color preferences, and any special instructions. At this stage, payment is held by hipobuy and not yet released to the seller.
You will receive an order confirmation email with your order number and estimated processing timeline. Save this order number for reference when contacting support. The status in your account dashboard changes to "Order Placed" or "Awaiting Seller Shipping."
Stage 2: Seller Ships (2-5 Days)
The seller prepares your items and ships them to the hipobuy warehouse. Processing time varies by seller based on their inventory management and order volume. Top-rated sellers typically ship within 24-48 hours, while lower-tier sellers may take 3-5 days.
During this stage, the seller may contact you if items are out of stock or if they need to substitute a different size or color. Respond promptly to avoid delays. If a seller has not shipped within 5 days, hipobuy support can intervene to催促 (urge) the seller or arrange a refund.
Stage 3: Warehouse Receives (1-3 Days)
Once the seller ships, a domestic tracking number is generated (typically Chinese courier like SF Express or YTO). The package travels to the hipobuy warehouse, a process that usually takes 1-3 days depending on the seller's location relative to the warehouse.
At the warehouse, staff scan the incoming package, match it to your order, and place it in the QC queue. Your dashboard status changes to "Arrived at Warehouse" or "Pending QC." This is when the clock starts for QC inspection turnaround.
Stage 4: QC Inspection (1-2 Days)

The standard turnaround is 24-48 hours. During peak periods (November-December, Chinese New Year), this may extend to 72 hours. High-value orders or items requiring special handling (like measurement photos) may take slightly longer.
Stage 5: Customer Review (1-3 Days)
You receive an email notification when QC photos are ready. Log into your account to view the photo set and decide whether to approve or reject the item. This is your critical quality checkpoint.
Approve items that meet your expectations and proceed to shipping selection. Reject items with defects or inaccuracies to initiate an exchange or refund. The seller has a limited window to respond to rejection requests, typically 2-3 days.
Stage 6: International Shipping (7-25 Days)
After you approve QC and select a shipping method, the warehouse prepares your package for international transit. This includes repacking items into shipping boxes, generating customs declarations, and creating international tracking numbers.
The shipping duration depends entirely on your chosen carrier. DHL Express and FedEx deliver in 7-12 days to most countries. EMS takes 10-15 days. E-Packet delivers in 12-20 days. Triangle shipping routes add 3-5 days but reduce customs risk.
Stage 7: Local Delivery (2-5 Days)
Once your package clears customs in the destination country, it enters the local delivery network. USPS handles final delivery in the US, Royal Mail in the UK, Deutsche Post in Germany, and respective national postal services in other countries. Express carriers (DHL, FedEx, UPS) use their own local delivery staff.
